Using Filters & Views

Find the information you need, save useful views, and keep frequently used lists within easy reach.

Written by Eolas Help Team

Filters help you focus on specific information in Eolas. Saving a filtered list as a view lets you return to that setup without selecting the same filters each time.

This guide covers five steps:

  1. Find and switch between views — choose a starting point.

  2. Add views from the library — an optional starting point.

  3. Filter your list.

  4. Customize your table settings.

  5. Save your setup as a new view.

  6. Star frequently used views — keep the saved view easy to find

Before you begin: What you see and can do in Eolas depends on your organization’s setup and your permissions.

Step 1: Find and switch between views

The name at the top of the page tells you which view is open.

Open another view

  1. Select the current view’s name.

  2. Browse the available views, or search using Find a view.

  3. Select the view you want to open.

You can also select views listed beneath an area in the left-hand navigation.

Check what the view includes

After switching views, review the active filters above the list. These explain how the information has been narrowed down.

For example, the Portfolio A: Animal Bite Incidents view created earlier uses a Category filter to show Animal Bite incidents.

Step 2: Add views from the library

The library contains default views provided by Eolas. These offer starting points for working with different types of information.

Add a library view

  1. Select the three-dot menu beside the current view’s name.

  2. Choose Add View from Library.

  3. Select the views you want to add and save the changes.

Open the added view to review its contents and any active filters. You can then apply filters, save a separate view, or star it for convenient access.

Step 3: Filter your list

Open the area you want to work in, such as Events, Sites or Incidents, and choose an available view as your starting point.

Check the filters already displayed above the list. They show whether the view is already narrowed to a particular group of items.

Add a filter

  1. Select Add Filter above the list.

  2. Choose what you want to filter by, such as Category.

  3. Choose the options you want to include, then apply the filter.

The available filters depend on the area you’re using. For example, you can use Scope in Sites to focus on selected parts of your organization, or Category in Incidents to find a particular type of incident.

Example: Find Animal Bite incidents

Open an incident view, select Add Filter, and choose Category. Select Animal Bite and apply the filter.

The list will show matching incidents within your current view.

Adjust or remove a filter

Select an active filter to review or change its conditions. To remove it, select the × beside the filter.

Removing a filter broadens the results. Other active filters and your permissions may still affect what appears.

Tip: If you can’t find something, check your current view and active filters. Filtering changes what appears in the list; it does not delete the items hidden from your results.

Step 4: Customize your table settings

Use Table Settings to adjust row spacing, group records, and choose how columns appear.

Select the gear icon in the list toolbar to open Table Settings.

Change row density

Under Density, choose:

  • Comfortable for more space between rows.

  • Compact for a tighter layout that fits more rows on screen.

Group records

Grouping brings records with shared values together, such as Incidents with the same Category or Status.

  1. Under Grouping, turn on Show Grouping Panel.

  2. Select Save.

  3. Drag a column heading into the grouping panel above the table to create groups.

Reorder columns

Under Columns, drag the column names into your preferred order using the handles beside them.

You can also reorder columns by dragging their headings directly on the table.

Choose which columns appear

Use Add Columns to change which columns are included in the view.

Removing a column from the view does not delete the information stored in your records.

Save your table settings

Select Save at the bottom of the Table Settings panel to apply your changes, or Cancel to discard them.

Step 5: Save your filtered list as a new view

If you’ll use the same filtered list again, save it as a separate view.

Create a new view

  1. Apply the filters you want to keep.

  2. Select the three-dot menu beside the current view’s name.

  3. Choose Save As New.

  4. Give the new view a descriptive name and save it.

For example, name an incident view filtered to the Animal Bite category Portfolio A: Animal Bite Incidents.

Choose a useful name

A view’s name should help you recognize what it contains. Use a location, team, category, or other description that matches its purpose.

To change a view’s name later, open its three-dot menu and select Rename.

Step 6: Star frequently used views

Star the views you use regularly to keep them within easy reach in the left-hand navigation.

Star a view

Select the star icon beside the current view’s name. You can also select the star beside a view in the dropdown menu.

A filled gold star identifies a starred view.

Unstar a view

Select the filled star again to remove it from your starred views. Unstarring a view does not delete it.

Starring gives you convenient access to a view without changing its filters.

What’s next?

Try the process with a list you use regularly:

  • Apply a filter that helps you focus on your work.

  • Choose Save As New and give the view a recognizable name.

  • Star it so you can quickly return to it.
