Tags give your team a flexible way to add additional context to records without changing your Category structure.
How Tags work
Tags are reusable labels that can be applied to records in Eolas. You can add Tags to Places, Users, Teams, Roles, Events, Incidents, Workflows, Forms, and form fields.
They can help your team group, identify, or filter records based on information that may not belong in a formal Category.
Examples might include:
Animal Attack
Dog Bite
Property Damage
Parking
Government
Midwest
Southeast
The exact Tags available to your organization depend on how Eolas has been configured.
View your Tags
To review the Tags available to your organization:
Select Settings from the left-hand navigation.
Select Tags.
Review the Tags available to your organization.
From the Tags list, you can see:
Tag name
Scope
When the Tag was last updated
Who last updated the Tag
Create a Tag
To create a new Tag:
Go to Settings > Tags.
Select + Add Tag in the upper-right corner.
Enter a Name for the Tag.
Select the appropriate Scope.
Select Create Tag.
Name your Tag
Use a short, clear name that makes the Tag easy to understand when it appears on a record.
For example:
Dog Bite
Property Damage
Parking
Midwest
Try to avoid creating duplicate or very similar Tags, since that can make filtering and reporting less consistent over time.
Set the Scope
The Scope determines where the Tag is available.
Depending on your organization’s configuration, you may be able to make a Tag available to:
An organization
A division
One or more sites
Choose a Scope based on where users will need to apply the Tag.
For example, a Tag used across your entire organization may have a broader Scope, while a site-specific Tag may only be available at one property.
Edit an existing Tag
To update an existing Tag:
Go to Settings > Tags.
Select the Tag you want to manage.
Update the Tag information as needed.
Save your changes.
Before renaming or changing the Scope of a Tag that is already in use, consider how the change may affect existing records or how users find information.
Select Tags to manage
Go to Settings > Tags and select the checkbox next to each Tag you want to manage.
A toolbar appears at the bottom of the page showing the number of selected Tags and available actions. When two Tags are selected, you can select Merge to combine them.
To deselect a Tag, clear its checkbox. To clear the entire selection, select the × on the bottom toolbar.
Merge selected Tags into one
Merge Tags when they represent the same topic or you want to consolidate similar labels.
Go to Settings > Tags.
Select the checkboxes next to the Tags you want to merge.
Select Merge in the toolbar at the bottom of the page.
Follow the on-screen prompts to complete the merge.
Delete a Tag
Delete a Tag when it is no longer needed.
Go to Settings > Tags.
Open the available actions for the Tag you want to delete.
Select Delete.
Follow any on-screen prompts to complete the deletion.
Add Tags to records
Once a Tag exists in Settings > Tags, you can add it to records across Eolas and remove it when it no longer applies. Tags add context that doesn’t belong in a Category or another field. They don’t change how a record works: access is still controlled by roles and scopes, and processes by Workflows.
For Places, Users, Teams, Roles, Events, and Incidents, Tags appear on the record in the list and in its side panel.
Places
Mark specific areas within a site, such as parking areas, so your team can recognize them quickly and group similar locations across properties. For example: Parking.
Users
Identify people by region or responsibility without changing their role. For example: Regional Property Manager.
Teams
Show what a team is responsible for, so the right team is easier to find. For example: Risk Management Team.
Roles
Label roles by where or how they’re used, so administrators can keep track of similar roles as the list grows. For example: Regional Property Manager.
Events
Add context the Event’s Category doesn’t capture, such as the region affected, so your team can spot related Events at a glance. For example: Southeast.
Incidents
Record extra detail alongside the Category, so similar Incidents are easier to identify and group. For example: Category Animals → Dog Bite, Tag Resident Injury.
Workflows
Organize your configuration, so administrators can tell related Workflows apart, such as the ones that include an approval step. For example: Approval Needed.
Forms
Group related Forms, so they’re easier to identify when you build or update Workflows. For example: Property Damage.
Form fields
Label fields by topic, so related fields are easier to recognize when you build Forms. For example: Dog Bite, for fields that only apply to animal incidents.
Add or remove Tags on a record
Open the record.
Edit it:
Incident: select the three-dot menu at the bottom-left of the panel, then Edit.
Event: select More Actions → Edit.
Place, User, Team, or Role: open the record and select its edit option.
In Tags, select the Tags to add, or remove the ones you no longer need.
Save your changes.
Add or remove Tags on a Workflow
Go to Settings > Workflow. Add Tags when you create a Workflow, or select an existing Workflow to update its Tags.
Add or remove Tags on a Form
Go to Settings > Forms. Add Tags when you create a Form, or select an existing Form to update its Tags.
Add or remove Tags on a form field
Open the Form, select the Form Builder tab, and select Edit. Select the field, then update Tags in its Field Control Properties.
Removing a Tag from a record doesn’t delete the Tag. To delete it everywhere, see Delete a Tag above.
Tags vs. Categories
Tags and Categories both help organize information, but they serve different purposes.
Categories define the primary type of Event or Incident being recorded.
Tags provide additional context that can help your team identify, group, or filter records.
For example:
Category: Animals → Dog Bite
Tag: Resident Injury
or:
Category: Property Damage
Tag: Flooding
Use Categories for the primary classification of a record and Tags when you need additional flexible context.
