Managing Picklists

Create predefined lists of values that can be reused across forms and configurable fields in Eolas.

Written by Eolas Help Team

Picklists help standardize the options users can select when completing forms. Instead of entering information manually, users choose from a predefined set of values configured by your organization.

For example, a Picklist might include options for:

  • Injury severity

  • Damage type

  • Resident impact

  • Incident source

  • Follow-up status

How Picklists work

A Picklist is a reusable list of predefined values.

Picklists can be connected to configurable fields so users can select from consistent options when completing a form.

For example:

Picklist: Damage Type

Values:

  • Water Damage

  • Fire Damage

  • Structural Damage

  • Equipment Damage

  • Other

Using predefined values helps keep information consistent across records and makes it easier for teams to review and compare data.

View your Picklists

To review the Picklists available to your organization:

  1. Select Settings from the left-hand navigation.

  2. Select Picklists.

  3. Review the Picklists configured for your organization.

From the Picklists list, you may be able to see information such as:

  • Picklist name

  • Description

  • Scope

  • Date last updated

  • Who last updated the Picklist

Create a Picklist

To create a new Picklist:

  1. Go to Settings > Picklists.

  2. Select + Add Picklist.

  3. Enter a clear Name for the Picklist.

  4. Add a Description, if applicable.

  5. Select the appropriate Scope.

  6. Add the values users should be able to select.

  7. Select Create Picklist when you're finished.

Name your Picklist

Use a name that clearly describes the information the Picklist is intended to capture.

For example:

  • Injury Severity

  • Damage Type

  • Resident Status

  • Incident Source

Clear names make it easier for administrators to identify the correct Picklist when configuring Forms.

Choose a Picklist Type

When creating a Picklist, select how its values should appear in Eolas.

Label

Displays Picklist values as standard text.

Use Label when the values only need to identify an option and don’t require additional visual emphasis.

Badge

Displays Picklist values as colored badges.

Use Badge when color can help users quickly distinguish between values, such as priority, severity, or status.

For example:

  • Low

  • Medium

  • High

could be configured as Badge values so each option is visually distinct.

Note: The Type may be fixed for some system Picklists and unavailable to change.

Tip: If you select Badge as the Picklist Type, you can also configure the color used to display each value.

Add Picklist values

Add the individual options users should be able to select.

For example, an Injury Severity Picklist might include:

  • No Injury

  • Minor

  • Moderate

  • Serious

  • Critical

Keep values concise and avoid creating duplicate options with similar meanings.

Tip: Use consistent terminology across Picklists so users are not choosing between multiple values that mean the same thing.

Use Picklists in Forms

Once a Picklist has been created, it can be used within configurable fields in Forms.

For example, a Property Damage Form might include a Damage Type field that uses a Picklist containing:

  • Water Damage

  • Fire Damage

  • Structural Damage

  • Other

When a user completes the Form, they select one of the predefined values instead of entering free-form text.

This helps your organization collect information in a consistent format.

Edit an existing Picklist

To update a Picklist:

  1. Go to Settings > Picklists.

  2. Select the Picklist you want to manage.

  3. Update the name, description, scope, or available values as needed.

  4. Save your changes.

Before changing or removing a value that is already in use, consider how the update may affect existing Forms or records.

Picklists vs. Tags

Picklists and Tags both provide predefined values, but they serve different purposes.

Picklists are used within configurable fields to control the values a user can select when completing a Form.

Tags provide additional labels that can be applied to records for organization and filtering.

For example:

Form field: Damage Type
Picklist value: Water Damage

versus:

Tag: Insurance Review Needed
