Managing users in Eolas

How to view, add, edit, and manage users in your Eolas organization.

Written by Eolas Help Team

The Users section is where you manage everyone who has access to your organization. You can add new users, update their details, assign them to teams, and control their access through roles.

Add a user

  1. Open Users and select the option to add a user.

  2. Enter the required First Name, Last Name, Email, and Scope.

  3. Optionally select Teams, a Role and Role Scope, or add Tags.

  4. Select Search Existing Users to check whether the person already has an account.

  5. Follow the on-screen prompts to complete the process.

Create a user with a preset password

Administrators can set a new user’s initial password instead of having the user create it at first sign-in.

  1. Complete the steps under Add a user, including selecting Search Existing Users.

  2. Under Invitation, choose Send now, Send next business day, or Do not send.

  3. Under Password Creation, select Created by you.

  4. Enter a password in the Password field or select Generate.

  5. Optionally select Require password change on next sign in to require the user to choose a new password when they first sign in.

  6. Select Create User.

Share the initial password with the user securely. You can use the copy icon next to the Password field to copy it.

Create a shared-email user with a preset password

A shared-email account lets you create a separate user with a unique username using an email address already associated with another Eolas user.

  1. Complete the steps under Add a user, entering the shared email address.

  2. Select Search Existing Users.

  3. When an existing user is found, select Create Shared Email Account under User Account Options.

  4. Review and edit the new account’s username as needed. Each account must have a unique username.

  5. Under Invitation, choose Send now, Send next business day, or Do not send.

  6. Under Password Creation, select Created by you.

  7. Enter a password or select Generate.

  8. If needed, select Require password change on next sign in.

  9. Select Create User.

Share the unique username and initial password with the new user securely.

Edit a user

  1. Click on the three dots to open their detail panel or click on the entire row

  2. Click Edit to make changes.

  3. Update their name, email, status, or other details.

  4. Click Save.

Manage teams and roles

Administrators can add or remove a user’s team memberships and direct role assignments from the Teams & Roles tab. Each direct role assignment includes a scope that determines where the role applies.

  1. Select Organization > Users.

  2. Select a user’s row to open their User Profile drawer.

  3. Select the Teams & Roles tab.

Add or remove team memberships

In the team memberships section, add the user to the appropriate teams or remove memberships they no longer need.

Team memberships can provide access through the roles and scopes assigned to those teams.

Add or remove direct role assignments

In the direct role assignments section, select the role you want to assign and its scope, such as the applicable organization, division, or site.

Remove any direct role/location assignments the user no longer needs.

A user may receive access through both team memberships and direct role assignments. Removing one assignment may leave access available through another.

Deactivate or delete a user

To remove access without deleting the account, open the user and set their status to Inactive. To permanently remove a user, select Delete from the row menu and confirm.

Resend an invitation

If a user hasn't accepted their invite, open their profile and select Resend Invitation from the actions menu.

View user activity

The Activity tab in a user’s profile shows a history of sign-ins, sign-outs, and edits to user fields.

  1. Select Organization from the left navigation, then select Users.

  2. Select a user to open their User Profile drawer.

  3. Select the Activity tab to review their activity history.

Activity entries are grouped by date and display the time each action occurred.
