Setting your availability

See and change your status, set your working hours, and hand off an on-call shift.

Written by Eolas Help Team

What is availability?

Your availability tells Eolas whether you can take new work right now. Assignments use it to decide who to send incidents and events to, and your teammates can see it before they assign you something.

You always have one of three statuses:

Status

What it means

Available

You're working and can receive assignments.

On-Call

You're on a team's on-call schedule and can receive on-call assignments.

Unavailable

You're not working. Automatic assignments skip you.

Where you see availability

Each status shows as a small indicator at the lower right of a person's avatar. The indicator uses both a color and a shape, so it's easy to read even at small sizes. For example, a green dot means Available and a red ring means Unavailable.

You'll see the indicator:

  • On your own name and avatar in the lower left of the app

  • In the Status column when you view a list of users

  • Anywhere you pick people for an assignment

How your status is set automatically

Eolas sets your status for you based on your working hours and your teams' on-call schedules:

  • When your working hours start, you become Available.

  • When your working hours end, you become Unavailable, unless you're on call.

  • When you're on a team's on-call schedule, you become On-Call.

  • If you haven't set working hours for a period, you're Available.

If more than one status applies at the same time, Available comes first, then On-Call, then Unavailable.

Change your status

You can switch between Available and Unavailable at any time. Your choice stays in place until your working hours call for the next change.

  1. Click your name in the lower left of the app.

  2. In the menu, click the status row. It shows your current status and the one you'll switch to, such as Available → Unavailable.

  3. Your status changes right away, and the indicator on your avatar updates.

You can't set yourself to On-Call. Only your teams' on-call schedules, or accepting a teammate's on-call shift, can make you On-Call.

Set your working hours

Your working hours decide when you're available for assignments.

  1. Click your name in the lower left of the app and choose Preferences.

  2. Select Availability.

  3. Under Working Hours, choose a schedule:

    • Every Day: One start and finish time for Sunday through Saturday.

    • Weekdays: One start and finish time for Monday through Friday. You're off on Saturday and Sunday.

    • Custom: A separate start and finish time for each day.

  4. Choose a Start and Finish time. Times are in half-hour steps. To take a day off, choose Off as the start time.

Your changes save automatically. New working hours start from your location's open hours, or 8:00 AM to 5:00 PM if your location doesn't have hours set.

The Availability page also shows:

  • Current Status: Your status right now.

  • On Call Schedules: Each team you're on call for and your next shift with that team. Your teams set these schedules. Click a team name to open the team.

Go unavailable while you're on call

If you're on call and need to step away, you can ask your team to cover the rest of your shift.

  1. Click your name in the lower left of the app and click the status row to switch to Unavailable.

  2. In Request On-Call Substitute, enter a Reason. It's required and is included in the email to your team.

  3. Click Send Request. A message confirms that your team has been notified.

You stay on call until someone accepts. While you wait, you'll see Waiting for a substitute, so you can't send the request twice.

What your teammates see

  • Everyone on each team you're on call for gets an email at the same time, except people who are already on call with you.

  • The email includes your reason and an Accept Shift button. It opens a page where they click Accept Shift to confirm. They don't need to sign in.

  • The first person to accept takes the rest of your shift and becomes On-Call. Anyone who opens the link later sees that the shift is already covered. After the shift ends, the link shows that it has expired.

When someone accepts, you become Unavailable and get an email saying who is covering your shift.

FAQs

What if no one accepts my request?
You stay on call for the whole shift.

Can I take my shift back after someone covers it?
No. If you switch back to Available, your substitute keeps the shift.

Why can't I select On-Call?
On-Call is set by your teams' schedules. You can't choose it yourself.

Why did my status change on its own?
Your working hours started or ended, or an on-call shift began. A manual change only lasts until your working hours call for the next change.

I never set working hours. What's my status?
You're Available until you set working hours.
